Creating expense reports

 

From the web:

 

Visualizing your expense reports


Your expense reports are available and visible from the menu Expense Reports, or Expense Reports > Personal.

You will be able to access the expense report's informations by clicking on it. You will thus be able to visualize a summary of the expenses attached to the report.

The Open button allow you to examine the expenses linked to the report in tunnel mode.

Creating your Expense Reports


You can created new expense reports at any time from your account. To do so: 
  • Click on the Add button, then on the type on expense report you'd like to create.

  • Fill in the various fields of the expense report.
  • Click on the Create button.

A new Expense Report has now been created, and is available on your account.


From the mobile App: 

Visualizing your expense reports 


Your Expense reports are available in the Expense Reports tab.

By clicking on this Expense Report, you will access its summary, and will be able to examine or modify its details. You will find underneath an exemple of the summary of an expenseless Expense Report

From the summary of an expense report with attached expenses, we can notably see the total amount of the expense report, and the list of the expenses linked to it.

Creating Expense Reports

 
  • Click on the Add button
 
  • Click on the type of expense report you'd like to create.

  • Fill in the various fields of the expense report.
 
  • Confirm the creation of the expense report by clicking on the "Add" button.
 

Linking an expense to an expense report.

Prerequisite: The Expense report must have already been created.

Adding an expense to an expense report can be done either during the creationg of the expense, or by modifying it.

The expense report to which you wish to link the expense must be selecting in the Expense report field.

From the summary of an expenseless expense report


In the Expense report menu, press the expense report and access its summary to link expenses to it.

  • Click on the button "Add Expenses"
 
  • Choose between Create a new expense and Select existing expenses

Open the report to access its summary, then press the Add expenses button.

It is possible to link an expense with an expense report from the "Folder" button, which can be accessed directly from the expense.

To do so:
 
  • Press the expense in order to see its summary.
  • Press the "Folder" button, next to the Edit button.

You will then be given a choice between two possibilites:
  • Creating a new expense report
 
  • Selecting an existing expense report

Validation Workflow of an expense report


Being the manager of a team, you will have the capacity to manage your coworkers' expense reports. 
  • Your own Expense Reports are available in the menu Expense Reports > Personal. 
  • The Expense Reports of your coworkers under your management will be visible in the menu Expense Reports > Team. 
  • The Expense Reports of your coworkers which are awaiting an action from your part will be found in the menu Expense Reports > To Process.

As a reminder, the names of the actions, menus, etc, can vary between configurations.

Validating a single expense report


Click on the expense report to see its details, then click on the appropriate action button. (here, Reject or Accept)

Validating multiple expense report


Select the expense reports you wish to deal with, then click on the Open button :

You will be able to examine and make a decision for the first report, then to get on to the next by using the arrows available near the top of the screen.

 

From the mobile App:


From you account's main screen:
  • Click on the Team tab at the bottom of the screen, an icon with a number in it indicates how many elements require an action from your part.

  • Then click on the To process menu.

  • Press then on the name of the coworker for which you want to process one or multiple expense reports.
 
  • Press the expense report you want to process in order access its details et the action button(s). (the available actions can vary depending on the account's configuration)

Exporting an Expense Report
 
It is now possible to export expense reports in the CSV format, with a choice of either a detailed export, or a simpler one.

Once generated, you may find the exports in the Exports > Standard tab.
