Set up routing rules

Feature available in Enterprise plan.

What is a routing rule for?


Routing rules are used to define a dynamic approval circuit.

If you have specific rules within your organisation in the approval circuit, they give you the possibility of implementing these rules.

Example: By default, any expense entered must be approved by the user Manager1. Thanks to the routing rule below, any expense whose amount is greater than €1,000 will be forwarded to the Marketing Department group, whose expenses are approved by another user.


How to configure a routing rule?

  • Go to the web application at
  • Access Settings by clicking at the top right of the screen.


  • In the Company Settings menu on the left of the screen, click Policy, then Routing Rules.
  • Click on the Add


Configure the condition of the routing rule


Any expense that meets a condition will take a specific route in the approval circuit.
Three items of data must be completed to configure the routing rule condition:

  • Field: trigger information, to be selected from the dropdown list. Most entries refer to the main fields of an expense (Seller, Total, Category, etc.). If any custom fields have been configured in the account, these will also appear in the list.


  • Operation: dropdown list that suggests entries according to the previously selected field: equals, is greater thanor among.


  • Value: this data can be of text, number or list type, depending on the previously selected field.


Note: It is possible to add several conditions in the same routing rule. An expense that meets all of these conditions will be forwarded to the selected recipient group. However, if only one of the conditions is met, the rule will not be triggered. Depending on the case, therefore, favour the creation of several routing rules, and not several conditions for a single rule.

Configure the recipient group


Once the condition has been configured, you must choose a recipient group. The entries in the dropdown list correspond to the groups configured in the account.

Expenses meeting the condition will be forwarded to the selected group. At the same time, you must therefore assign  checking and/or approval rights for the group in question to the users who are supposed to have access to these expenses.


Configure the groups and users concerned


By default, a routing rule will be triggered as soon as its condition is met, regardless of who is the owner of the expense.

If you want to control this scope, you can use the Groups concerned or Users concerned field.

For example, in the case below, the routing rule will only be triggered if the expense that meets the condition has been entered by someone attached to the Marketing Department group.

Then click on Save.


Or as well, if the expense that meets the condition has been entered by employee x.
